Coordinating Communications Across 17 Countries from Budapest

How do you build a communication system that spans a small continent, aligning company-wide communications while ensuring local relevance and coordination? We’ve succeeded: we’ve been doing it for eight years, and now we’re going to tell you how.

The challenge

Our task was to execute corporate communication activities over several years with a limited budget, while coordinating an agency network from Budapest that supported our client across up to 17 countries simultaneously. EIT InnoEnergy's focus on sustainable energy management wasn't equally relevant in all markets,leading to a scarcity of universally engaging content elements, portfolio companies, or large corporate shareholders. From this complex scenario, we needed to develop a communication strategy that would enhance the organization's reputation and ensure a sufficient number of companies applied to its scale-up incubator, both regionally and beyond.

What we did

We devised a hybrid strategy, blending centralized content management with localized adaptability. This system, dubbed the HUB-agency model, maintained consistency in core content and network operations while allowing regional markets the flexibility to tailor materials to local preferences. We've successfully implemented this communication system for eight years. Key elements of our approach include:

Engaging EIT InnoEnergy's local partners to support our local agency partners by providing spokespersons and sharing country-specific data and insights.

Actively involving local teams in brainstorming sessions for each initiative, leveraging their expertise on how particular topics resonate in their markets and what they need from the client to ensure success.

Utilizing refined tools and platforms developed over years, covering task assignments, international event coordination, and standardized reporting.

Implementing a highly scalable system: in peak years, we coordinated communications for 17 countries from Budapest, spanning from the Baltics to the Balkans and extending to Asia Minor.

Its portfolio now includes approximately 300 scale-ups in early development stages,poised to enter international markets.
